Hi! As you know, we here at Box of Tricks are suggesting that your Big Bang stories this year be posted to the Archive of Our Own (AO3). In this post I am going to illustrate how you go about doing that. I promise it's easy! If you can post to LJ, you can post to AO3!

I am assuming that you have an AO3 account and that you are logged into it. (If you do not have an AO3 account and you would like one, let us know in the comments of this post! We have extra invite codes!)

Just wanted to put up a final reminder that the deadline for writer’s final drafts and artist’s rough drafts is the 23rd September i.e. today!

As we are now getting ever closer to our deadline of 23rd September we thought we'd put up the details of what you need to do with your stories and art.


Writers

Send your completed story to the following email address:

prosbigbang@gmail.com

Please use the following naming convention for the file:

prosbigbang_yourname_storytitle.doc

We're expecting that your draft is complete at this point, though you can definitely tweak before your posting date.


Artists

Please send the rough draft of your art to the same addresses above. It's not necessary to have completed art by this point (though that would be lovely) but we would like to know that you're on the way to finishing.


Writers and Artists

Since our next step is to create the posting schedule, please let us know if there are any dates that we should absolutely avoid giving you.

We want to make sure everyone has a date they're comfortable with, and one on which they can easily get their story or art up.

We’ll do our best to accommodate any requests, but we’d like everyone to appreciate that we're aiming to spread the stories out as evenly as possible throughout the month.


Next Steps

Once we have everyone's stories and art, we will be putting together the posting schedule. When that's done, we'll be sending everyone their posting date, along with details of how to create a post at [livejournal.com profile] ci5_boxoftricks with links to whichever location you’ve chosen to post your story and art to (LJ, Dreamwidth, The Automated Hatstand, AO3, etc).

And as a reminder if you do not wish to post to AO3 but would still like to make a downloadable version of your story available to your readers, we would ask that you be ready to submit a Rich Text Format file of your story. You will need to send this to us 2 or 3 days ahead of your posting date.

There is now about a month to go until the final deadline so we thought it was about time to let you all know what to expect over the next few weeks. Apologies for this long post, we didn't want any of it hidden under a cut.

The Deadlines

Friday 23rd September

Writer's final draft is due
  • While you'll still have a few days to tweak and polish, we'd like the writers to have complete, finished stories by this point.
Artist's rough draft is due
  • As the artists have less time to work on this than the writers, we'd only like to see a rough draft of their art at this point. What we're looking for is an indication that the artist is on track to finish in time for their posting date.
Both the artists and writers drafts will be sent to your friendly mods. Further information about sending us these drafts will be posted closer to the deadline.

Tuesday 27th September

The posting schedule is sent out to artists and writers.

Saturday 1st October

Posting begins. *dances*

What You Will Be Posting

Writers

In a publicly accessible location of your choosing: your story, including, if appropriate and possible, links to the art created by your artist.
  • You may post in your own LJ, in an LJ you create specifically for this purpose, in an archive, like The Automated Hatstand or AO3, or on a website.

  • We only require that the story is publicly accessible, and that you do not post your story before your assigned posting date.
In the [livejournal.com profile] ci5_boxoftricks LJ: a post with links both to your story and to your artist's post.
  • We'll be supplying templates for what your posts should look like nearer to the posting dates.
Artists

In a publicly accessible location of your choosing: the art for your claimed story, with any commentary you'd like.
  • As with the writers above you may post anywhere (LJ, archive, website etc) as long as it is publicly accessible.

  • Your writer will be linking to where you posted, so you will need to supply her or him with this link before they post at [livejournal.com profile] ci5_boxoftricks.

  • In addition to facilitate your writer including your art within their story, you may either supply them with files for the art, or with links to whatever site you have uploaded the art to. Vidders, you can supply the embed links, if you're posting the vid on YouTube or a similar site, or you can supply a link to the file on a site or an upload/download service.
Some extra reminders / notes

We'll be supplying templates for what your posts should look like nearer to the posting dates.

We will also be asking you about any dates in October when you would not be able to post so put your thinking caps on.

If posting in LJ, there is a limit of 65,000 characters per post. This generally works out to an average of 8,000 to 10,000 words.

If you are interested in posting at AO3 we still have some invite codes left so drop us a line if you would like one. And there is more about AO3 here and here .

If you do not wish to post to AO3 but would still like to make a downloadable version of your story available to your readers, we would ask that you be ready to submit a Rich Text Format file of your story. Again more to follow about this closer to the time.

To give our artists a heads up on the way they'll be claiming their stories, here's an outline of the way we'll be proceeding with the art claims on Thursday, July 7th at 1.00 p.m. EST. (You can use the World Clock Time Zone Convertor to determine the time in your location.)

First, the claiming post will contain all the story summaries, under a cut, and without the writers' names. The post will be screened, so your friendly mods will be the only ones to see all comments.

Each artist should comment to the post, and include your first, second, third, and fourth choices for story claims.

The mods will do a first pass through the list, starting with the first comment, and assign each artist their first story. If your first choice has already been chosen, you will be assigned your second pick.

We chose this method to ensure:

  • that every artists gets a reasonable shot of getting a first or second choice, and…
     
  • that artists who claim early will at least get their story assigned early, so they can get to work on art as quickly as possible      
Please note that once you have claimed a story, you'll be getting the rough draft of that story, so you don't have to work just from the summary.

Just a quick reminder to everyone out there that the deadline for the rough draft is approaching, with just over a day to go now (28th June PST).

Right then, as promised here is the information about how to send us your Pros Big Bang Rough Draft and Summary.


First, you need to create two separate files, one for the rough draft, and one for the summary. You should use the following naming convention for the files:

prosbigbang_roughdraft_yourname.doc

prosbigbang_summary_yourname.doc

So my two files would be called prosbigbang_roughdraft_saintvic.doc and prosbigbang_summary_saintvic.doc.

A note on file format. We'd prefer to get the files in Word's .doc format, though we will take .rtf or .txt files. If you have one of the latest versions of Word, please make sure you're saving to .doc, NOT .docx.

Next, you send the two files to the following email address:

The file are due by midnight, June 28, PST.

Once we have everyone's entries, we'll be stripping out the identifying information and posting the summaries for the artists to claim from on July 7.

Well we are rapidly heading up to the rough draft deadline on the 28th June and we thought it might be good to post a reminder about what we need in the rough draft.

A minimum word count of 15,000 words.
We're not going to be martinets about this. If you're only at 13,000 words, but it's clear you're well on the way to finishing, that works for us. But if you're only at 1,000 words, we have a problem. Talk to us. We don’t bite... hard.

A reasonably complete outline of any unfinished scenes
The outline can be as complete (massively detailed descriptions of every remaining incident in the story) or as brief ("insert sex scene here") as you like.

A reasonable confidence that you will be able to finish the whole story (20,000 word minimum) by the September 23rd deadline
This last bit is the most important. Since it gets handed to an artist at this point, we'd like for the artist not to work on something that isn't going to get done.

A short paragraph length summary/blurb that can be posted publicly on the comm for the artists to claim from. This should give a good flavour of the story, but doesn't have to give everything away. You can see what people posted last year here at last years artist's claiming post.

Finally in a couple of days we will be putting up a post detailing how to send us your rough draft and summary so please look out for that.

I posted last week about AO3 accounts for interested Big Bang participants.

I've now received the AO3 invitation codes I requested and just wanted to give you a quick heads up, that they'll be e-mailed to the addresses you gave us when you signed up for the Big Bang. PLEASE keep an eye out for an e-mail from Archive of Our Own and follow the simple instructions to secure your membership.

If you are participating in the Big Bang and would like a membership but you missed the poll, please let me know as I do have a few extra membership codes and I'd be happy to pass them on to you.

Following on from Drayce's earlier posts concerning posting work on AO3 I would like to encourage artists to join....

At the moment artists cannot post unless the images are embedded within a document or on a particular url. HOWEVER this is a very good time for artists to join because AO3 are always looking for suggestions and preferences for the design of their upcoming fanart galleries. If you wish you can become an active member of the design crew for the galleries or a beta. Most of the proposals have already been submitted but they seem to be open on an ongoing basis to suggestions. They are working in cycles of design and will be shortly looking for betas for the galleries. See here for information.

For those wishing to post their Big Bang stories to the AO3 we have gone ahead and set up collections there for both this year and last year's stories.

To find our collections:

1)Go to the AO3 homepage
2)click the Collections tag and to the right type "CI5 Box of Tricks" in to the Filter by Title box.

There are two subcollections so far, one for 2010 and one for 2011.

If you wish to add your 2010 story and already have an AO3 membership:

1)Click on Subcollections
2)Click on CI5 Box of Tricks 2010
3)Click Post to collection. You'll see a page that looks just like the posting page for your own dashboard. Once you've posted your Big Bang story it will also automatically appear on your personal dashboard.

If you have already posted your 2010 Pros Big Bang story to AO3 you can still add it to the 2010 collection:

1)Sign in and open the Edit tag on your 2010 Big Bang story.
2)In the section about halfway down the page, labelled Associations, the first field is marked Post to Collections/Challenges.
3) In that field, enter: Pros_Big_Bang_2010. In fact, it should be an option on the drop-down menu.
4) Remember to hit the post button.
5) Your 2010 Big Bang story is now also crosslisted under the CI5 Box of Tricks challenge.

If you wish to add your 2010 story and do not have an AO3 membership yet, please ask for one under our last post, even if you're not participating this year.

This year, we would like to actively encourage our Big Bang participants to consider posting their stories to the Archive of Our Own. It’s a well run site that puts control over their own work firmly in the hands of the writers.

That said, our main reason for encouraging this action is that all stories loaded to the AO3 are automatically available for downloading for electronic readers in MOBI, EPUB, PDF and HTML formats.

To be very clear, we are only encouraging this action, *not* requiring it. You are still free to post your story to your own LJ and/or another archive instead of, or in addition to, posting it to the AO3.

We will be contacting AO3 to request new membership codes for any of our participants who are not yet members but would like to *consider* posting their Big Bang submissions there. Although AO3 is not yet ready to host fan art and vids it is working towards this end so if you are producing art for the Big Bang please feel free to request a membership code as well.

We would like to get an idea of how many new membership codes to request so here’s a poll for Big Bang participants:
